How AI Can Answer Your Business Calls 24/7

What a 24/7 AI phone answering service does, how call forwarding is set up, what happens overnight, and how to measure whether it is working.

A missed call is not a neutral event. The person on the other end had a problem, chose you to solve it, and then had to choose again. Most of the time they choose whoever answers next.

This article is about the narrow, practical version of AI voice technology: keeping the line covered around the clock. Not replacing your team — covering the hours, and the moments, when your team cannot pick up.

When calls actually go unanswered

Owners usually think of this as an after-hours problem. In practice there are four gaps, and the after-hours one is often not the largest.

The most useful metric you are probably not tracking

Not "calls received" — most phone systems report that. Ask for calls that rang out, and calls that reached voicemail without a message. That second number is the one that tends to shock people.

How the forwarding is set up

You do not change your number, and you do not have to hand over your whole line. Three configurations cover almost every business:

  1. Conditional forwarding (most common)

    Your line rings as normal. If nobody answers within a set number of rings — usually four — the call forwards to the agent instead of to voicemail. Your team's behaviour does not change at all.

  2. Time-based forwarding

    Calls route to your team during business hours and to the agent outside them. Simple, predictable, and the easiest one to start with.

  3. Busy forwarding

    Calls forward only when your line is already engaged. This is the fix for the simultaneous-calls gap and it is frequently the highest-value of the three.

Most business phone systems and mobile carriers support all three natively. The agent gets its own number, and your existing number forwards to it under whichever conditions you choose.

What happens on an overnight call

A concrete walk-through, because "AI answers your calls" is abstract until you see the sequence.

  1. 11:40pm. A caller finds you through a search and rings. Your team is asleep.
  2. Ring two. The agent answers with your business name and says it is an AI assistant.
  3. The caller explains what they need, in their own words, at their own pace.
  4. The agent handles it — answers the question from your material, or checks live availability and offers real appointment slots.
  5. A booking is written into your calendar, and the caller gets a confirmation by SMS before they hang up.
  6. If it is urgent — the escalation rules you defined — the agent takes contact details and flags it, or transfers to an on-call number if you have one.
  7. 7:00am. Your inbox has the transcript, the summary, the caller's details and the outcome. The booking is already in the calendar.

The important part of that sequence is step five. An agent that only takes a message has recovered a lead. An agent that completes the booking has recovered a customer.

Emergency handling is not optional

If your business can receive genuinely urgent calls — a burst pipe, a medical question, a security issue — the very first thing the agent must be able to recognise is that this is one of them, and the very first thing it must do is get the caller to a human or to an emergency service. Design this before anything else.

Measuring whether it is working

Four numbers, reviewed monthly. Everything else is noise.

  • Answer rate. Calls answered divided by calls received. This should approach 100%, and it is the number the whole exercise exists to move.
  • Task completion rate. Of the calls the agent handled, how many ended in a booking, a resolved question or a captured lead — as opposed to a transfer or a dead end.
  • Escalation rate. How often it hands off. Too high means the scope is too narrow; too low can mean it is attempting things it should not.
  • Recovered revenue. Bookings that came from calls that would previously have gone unanswered, multiplied by average value. This is the number that justifies the cost.

Read transcripts alongside the numbers, at least weekly at first. The metrics tell you what happened; the transcripts tell you why.

What callers think about it

Reactions cluster into three groups, and it is worth designing for all three. Some callers do not notice or do not care, as long as they get what they rang for. Some notice, are mildly amused, and carry on. A minority want a person immediately and should get one without argument.

The design implication is simple: disclose that it is an AI in the greeting, and make "can I speak to someone" work on the first attempt. Almost all of the negative experiences in this category come from agents that hid what they were, or would not let go.

Frequently asked questions

Do I have to give up my existing phone number?

No. The standard setup keeps your number and forwards to the agent under conditions you set — after a number of rings, when the line is busy, or outside business hours. You can turn the forwarding off at any time and everything reverts.

What happens if the AI system goes down?

Ask any provider this explicitly. A well-configured deployment falls back to voicemail or to a backup number rather than to a dead line. The answer to this question tells you a lot about how seriously the provider takes production operations.

Can it transfer a call to my mobile?

Yes. Transfer rules are part of the configuration — for example, transfer during business hours, take a message and send an urgent notification outside them.

Will it handle callers with strong accents?

Usually well, but not perfectly, and line quality matters as much as accent. This is worth testing with real callers from your actual customer base before going live rather than assuming either way.

Is call recording legal?

It depends on your jurisdiction, and in many places on whether one or all parties must consent. This is a legal question rather than a technical one, and it should be settled — with an announcement in the greeting if required — before the first call is taken.
